Grouped delivery note

The module makes one single document for several validated shipments of the same customer. It reads the shipments and never changes them.

Creating a grouped note

1. In ProductsShipmentsList, tick the customer’s shipments.
2. Choose the “Grouped delivery note (one PDF)” mass action.
3. A screen recalls the customer and the selected shipments: order, customer reference, planned delivery date, number of lines, status. Add a note if needed, printed on the document, then “Create the grouped delivery note”.

The PDF is created at once. Before that, the module checks three things:

• at least one shipment is selected;
• none is in draft — otherwise the message shows its reference;
• all of them concern the same customer.

If one check fails, nothing is created and the reason is displayed.

The document

• Header: your company logo (otherwise its name), the title “Grouped delivery note”, the reference BLGyymm-NNNN, the date, the number of shipments and the page number.
• A “Sender” block with your company address; a “Delivery address” block with the shipping contact of the first shipment, otherwise the customer address.
• One block per shipment, in order of planned delivery date (creation date if none): “Shipment – Order (Customer ref.) – date”.
• For each line: reference, description, ordered quantity, shipped quantity and weight (product weight × shipped quantity).
• At the bottom: total quantity delivered, total weight when lines have a weight, your note, then a “Received in good condition on: / Name and signature:” box.

On several pages, the page header and the table header are repeated, and the shipment cut by the page break is recalled with “(continued)”.

The PDF language

The document is written in the language set on the customer’s card, otherwise in the user’s language. The module’s own labels — title, totals, signature box — exist in French, English and German; for other languages they are in English.

Finding a grouped note

• The grouped note card shows the customer, the date, the note, the link to the PDF and the shipments, with the “Download the PDF”, “Regenerate the PDF” (after a shipment was changed) and “Delete” buttons.
• ProductsShipmentsGrouped delivery notes: the list of all notes.
• On each shipment card, a “Grouped delivery note” line links to the note(s) that contain it.

The PDF made for three shipments of a fictitious grocery: one block per shipment, with its order, customer reference and date, then the quantities and weights. At the bottom, the total quantity delivered (116), the total weight (71.6 kg), the note and the signature box.

In the shipment list, on Dolibarr 24.0.1, the customer’s three shipments are ticked. The “Grouped delivery note (one PDF)” action is added to Dolibarr’s own actions, below “PDF Merge”.

The card of grouped note BLG2610-0009: customer, date, note, link to the PDF, the three shipments with their order, customer reference and planned delivery date, and the Download, Regenerate and Delete buttons.

None: the module has no setup page. The PDF uses your company logo and address, and the paper format and margins set in Dolibarr.

• Two dedicated permissions: “See and download grouped delivery notes” and “Create, regenerate and delete grouped delivery notes”.
• Without the second permission, the mass action does not appear in the shipment list, and the grouped note card only shows the download button. Creating, regenerating and deleting are refused.
• Dolibarr’s permission as well: the list, the grouped note card and its PDF also require the permission to read shipments.
• Sales representatives limited to their customers: without Dolibarr’s permission to see all third parties, a user only sees, downloads and creates the grouped notes of the customers they are the assigned sales representative of, as in Dolibarr’s lists; a forged link to another note is refused.
• Shipments are read only: the module changes no shipment and no order.
• Confirmed deletion: deleting a grouped note asks for confirmation; the note, its lines and its PDF are deleted, the shipments stay intact.
• A grouped note and its shipments are recorded in one transaction: if writing to the database fails, nothing is recorded.

• The module folder, dolixblgroupe, to drop into htdocs/custom/ or to install from the zip.
• Three languages: French (fr_FR), English (en_US) and German (de_DE).
• A README.md and a version history (ChangeLog.md) in the module folder.
• GPL v3 or later licence, complete and readable source code.

• Two tables are added: llx_dolixblg (one grouped note: reference, customer, note, user, creation date, entity) and llx_dolixblg_exp (the shipments of each note, in print order).
• The PDF is stored in documents/dolixblgroupe/, in a folder named after the note reference.
• Shipments, their lines and orders are only read. No Dolibarr file is modified.
• When disabled, the menu, the mass action and the line on the shipment card disappear. The llx_dolixblg and llx_dolixblg_exp tables and the PDFs already created are not deleted.
