An amount per member

The module adds a “Custom membership fee” field to the member card. Dolibarr’s “New subscription” form then suggests this amount instead of the type’s amount.

With no custom amount, the form suggests the amount of the member’s last subscription (setting enabled by default), otherwise the amount of their type.

Bulk renewal

The Members“Bulk renewal” menu opens the renewal page. You can also reach it from the member list, with the “Renew memberships (each member’s amount)” mass action.

• Choice of validated members: by type, by tag, by “membership ended before”, and as an option members without any subscription.
• For each one: end of the current subscription, linked third party or not, suggested amount and where it comes from — the member, their last subscription or their type —, new period. The amount can be changed line by line.
• Start of the new subscription: after the previous one, with the same rules as the native form (start on the first day of the month or year, end on 31 December), or on a fixed date for everyone, for a yearly campaign.
• Complementary action, as on the native form: direct bank entry, invoice only, or invoice with payment. The third party of members who have none can be created, which is needed to invoice.
• Confirmation email with the template chosen in the members setup, invoice attached if the template says so.

A summary (number of subscriptions, total, action) asks for confirmation. Then a report lists, member by member, the subscription and invoice created, with their links, and the email status.

Dolibarr’s own functions

The module records each subscription and its complementary actions with Dolibarr’s own functions, those of the native form. Numbering, VAT, the subscription product and the invoice PDF follow your setup.

Safeguards

• All or nothing per member: if the invoice or the payment fails, that member’s subscription is not recorded. The others go on, and the reason is shown.
• A member already covered until the end of the proposed period is skipped.
• A renewal runs only once: a double click or the browser’s back button is refused, and nothing is done again.
• A negative amount is refused; a missing amount too, if the type requires a subscription.
• Sending the email is disabled, with an explanation, if no template or no sender address is set.

The “Renouvellement des cotisations” (Membership renewal) page, on Dolibarr 24.0.1: filters and options at the top, complementary action “invoice with payment”, confirmation email ticked. Six members, each with their own amount, from 15.00 to 50.00: three amounts come from the member (“l’adhérent”), two from their last subscription (“sa dernière cotisation”), one from their type (“son type”). The member without a subscription starts on 12/10/2026; the others resume on 01/01/2026, after their subscription ended on 31/12/2025.

The report after confirmation: “6 sur 6 créée(s)” (6 of 6 created), 185.00 in total. For each member, the subscription created, its invoice (FA2610-0026 to FA2610-0031) and the email marked “Envoyé” (sent).

The module’s setup page is reserved for administrators.

The other settings are those of the Members module, applied as they are: confirmation email template, product used on invoices, subscription VAT, start forced to the first day, end on 31 December. The setup page recalls them, with a link to the Members module setup.

• Two dedicated permissions, not granted by default: “See the membership renewal page” opens the page and the mass action; “Renew memberships in bulk” shows the renewal button.
• The Dolibarr permission on top: to renew, the user also needs the permission to create subscriptions. Without it, the page is shown without a button, and a forced submission is refused.
• The page shows validated members with their email. Grant “See the page” only to people who can already see members.
• Protected requests: confirmation and execution only accept a submission carrying Dolibarr’s anti-CSRF token, from a user who has the permission to renew and the one to create subscriptions.
• Single run: each confirmed renewal carries a one-time identifier.
• Transactions: for each member, the subscription and its complementary actions are recorded together, or not at all.

• The module folder, dolixcotisations, to drop into htdocs/custom/ or to install from the zip.
• Three languages: French (fr_FR), English (en_US) and German (de_DE).
• A README.md and a version history (ChangeLog.md) in the module folder.
• GPL v3 or later licence, complete and readable source code.

• No table is added. The module adds a complementary field to members, “Custom membership fee” (code dolixcot_amount), and stores one setting, DOLIXCOT_USE_LAST_AMOUNT.
• What is written at each renewal, by the core functions: each member’s subscription and, depending on the action chosen, the bank entry, or the invoice and its payment. The third party is created for members who have none, if the option is ticked. Dolibarr generates the invoice PDF as for any invoice.
• Emails are sent through your Dolibarr’s mail settings. No Dolibarr file is modified.
• On deactivation, the page, the menu entry and the mass action disappear. The field and the amounts entered stay in the database, hidden while the module is disabled. The subscriptions, invoices and payments created remain: they are data in your database.
